TeamSideline Privacy Policy

Completely IT, Inc. dba TeamSideline.com (“TeamSideline,” “Company,” “we,” “our,” or “us”) operates a cloud-based sports league management platform used by youth and adult leagues, clubs, associations, schools, parks and recreation departments, tournament operators, and other sports organizations. Our Services include our websites, hosted organization sites, administrative portal, mobile application, registration and scheduling tools, team and roster management, email, SMS and chat communications, online payment functionality, facility management, volunteer background-check workflows, reporting, artificial intelligence features, and related software, integrations, and services (collectively, the “Services”).

This page informs you of our policies regarding the collection, use, storage, disclosure, and other processing of Personal Data when you use the Services and the choices and rights you may have regarding that data (“Privacy Policy”). This Privacy Policy applies to information processed by TeamSideline through the Services, including information relating to Organizations, Administrators, participants, players, parents and guardians, coaches, officials, volunteers, and other end users. Use of the Services is also subject to our Terms of Use and any applicable agreement with an Organization. This Privacy Policy does not apply to the independent practices of Organizations or companies that we do not own or control.

We use Personal Data to provide, secure, support, administer, and improve the Services and for the other purposes described in this Privacy Policy. Unless otherwise defined in this Privacy Policy, capitalized terms used here have the same meanings as in our applicable Terms of Use.

Definitions

Cookies: Cookies are small pieces of data stored on or accessed through your device and may include similar technologies such as pixels, tags, local storage, and software development kits.
Data Controller / Business: Depending on the context and applicable law, TeamSideline may act as a data controller, business, or similar entity when it determines the purposes and means of processing Personal Data, including for its own customer relationships, account administration, security, analytics, support, and product communications. An Organization may separately act as the controller or business for participant or other information that it chooses to collect through the Services.
Data Processors / Service Providers: A data processor, service provider, contractor, or subprocessor is a person or company that processes Personal Data for another party. TeamSideline uses third-party providers to support functions such as hosting and storage, payment processing, email and SMS delivery, analytics, privacy and consent management, customer support, security, background-check workflows, and artificial intelligence features.
Personal Data: Personal Data means information that identifies, relates to, describes, is reasonably capable of being associated with, or could reasonably be linked, directly or indirectly, with an individual or household, as defined by applicable law.
Service: Service means TeamSideline’s cloud-based sports management platform and related websites, hosted organization sites, administrative portal, mobile applications, software, integrations, and features for registration, scheduling, communications, payments, websites, facilities, reporting, volunteer workflows, artificial intelligence, and other sports-organization operations.
Usage Data: Usage Data is information collected automatically from the use of the Services or the Service infrastructure, such as log records, device and browser information, timestamps, feature activity, and performance data.
User: “User” means any individual who accesses or interacts with the Services, including an Organization Administrator, participant, player, parent or guardian, coach, official, volunteer, spectator, or other end user.

TeamSideline and Organization Roles

TeamSideline and each Organization may have different privacy responsibilities depending on the data and activity involved. TeamSideline determines the purposes and means of processing for certain data used to operate its own business and Services. An Organization generally determines the purposes for participant registration forms, program eligibility information, waivers, medical or emergency questions, rosters, communications, and other data that the Organization chooses to collect or use through the Services. Nothing in this Privacy Policy replaces an Organization’s own legal obligations or privacy notices.

Information Collection and Use

We collect different types of information for various purposes to operate, secure, support, personalize, and improve the TeamSideline platform. Information may be provided directly by Administrators or End Users, collected automatically through use of the Services, received through an Organization, or received from service providers and integrations used to deliver the Services.

The information collected depends on the role of the User and the features selected by the Organization. Administrators may provide Organization account, program, registration, scheduling, communication, payment, website, and support information. Participants and families may provide registration information selected by the Organization, which can include contact information, dates of birth, household relationships, emergency information, health or accommodation information, uploaded records, team or roster information, communications, and payment history.

Our information collection also includes cookies, device identifiers, log information, and analytics data used for security, troubleshooting, product performance, and service improvement. TeamSideline is primarily U.S.-focused, but Personal Data may be stored or processed in the United States or in other jurisdictions where our service providers operate, subject to applicable legal and contractual safeguards.

Types of Data Collected

Information You Choose to Give Us

When you use the Services, you, your Organization, or another authorized User may provide Personal Data to create or administer an account, register a participant, configure a program, communicate through the Platform, make or administer a payment, upload content, obtain support, or use other features. Depending on the Services and the Organization’s configuration, this information may include:

Names, mailing addresses, email addresses, telephone numbers, and other contact information
Account registration details, usernames, authentication information, Administrator role and permission information, and acceptance records
Organization names, job titles, program information, seasons, divisions, eligibility criteria, registration settings, and other administrative data
Participant names, dates of birth, age, household relationships, parent or guardian information, emergency contacts, and authorized pickup information
Program selections, registration history, team and roster assignments, jersey or position information, schedules, attendance or participation details, and related sports-program information
Medical, health, allergy, accommodation, accessibility, or emergency information requested by an Organization through its forms
Birth certificates, residency documents, consent forms, waivers, photographs, images, logos, documents, and other files uploaded through the Services
Coach, official, volunteer, and background-check workflow information, including status information returned by applicable providers
Email, SMS, chat, announcements, notification preferences, consent records, and other communication information
Subscription, invoice, payment, refund, payment-plan, balance, processing-fee, and transaction history; payment card credentials are handled or tokenized by the applicable payment processor
Information shared at an Organization’s direction with a parent association, affiliated league, member organization, or other authorized entity
Information submitted to or generated through artificial intelligence features
Customer-support communications, survey responses, and other information you choose to provide
Cookies, device identifiers, IP addresses, browser information, and Usage Data collected through your use of the Services

Sensitive Personal Data

Some information processed through the Services may be considered sensitive or specially protected under applicable law, including medical or health information, information about minors, precise financial credentials handled by payment processors, account authentication information, and certain government-issued or eligibility documents uploaded at an Organization’s request. TeamSideline does not require every Organization to collect these categories. Organizations should request sensitive information only when reasonably necessary for their programs and should limit access to authorized personnel. TeamSideline processes sensitive information only for purposes reasonably related to providing, securing, supporting, or complying with the Services and applicable law.

Minors and Parental Consent

Youth sports is a core use of TeamSideline. Minors may participate in programs administered through the Services, but TeamSideline’s intended registration model is for a parent or legal guardian to create or use the applicable account and submit information for a minor. TeamSideline does not knowingly seek to have children under 13 independently create accounts or provide Personal Data directly without appropriate parental authorization. If TeamSideline learns that a child under 13 has provided Personal Data directly without appropriate authorization, we will take reasonable steps to address or delete the information as appropriate and required by law. Parents and legal guardians may contact us, and may also need to work with the applicable Organization, regarding access, correction, or deletion of a minor’s Organization-controlled information.

User-Generated and Organization-Generated Content

TeamSideline allows Organizations and Users to upload, submit, configure, store, publish, or transmit content, including registration forms, policies, waivers, logos, photographs, documents, announcements, messages, team information, and other materials. This content may include Personal Data. Visibility depends on the feature, the Organization’s configuration, the User’s permissions and privacy settings, and the intended audience. Organizations control much of the content and data they choose to collect and publish through their sites and programs. Users should exercise care when uploading sensitive information or content involving minors.

Messaging and Communication Tools:

TeamSideline provides tools that may allow Organizations and Users to send or receive email, SMS, push notifications, chat messages, announcements, schedule notices, payment notices, and other communications. TeamSideline processes communication content and related metadata as necessary to transmit, store, secure, troubleshoot, and support these features. Organizations are responsible for determining lawful recipients, obtaining required permissions and consents, honoring applicable opt-out requirements, and using the communication tools in accordance with law and their own policies.

Third-Party Services and Integrations:

TeamSideline may use or make available approved third-party services and integrations, including payment processing, email and SMS delivery, hosting and storage, analytics, privacy and consent management, artificial intelligence providers, background-check services, and other tools that support Platform functionality.

Organizations and Users may also post or follow external links through hosted sites, documents, messages, or other content. TeamSideline does not control the independent data handling, security, or privacy practices of third-party services, and third-party services are governed by their own terms and privacy policies.

Communication and Marketing

We may use Personal Data to send service-related messages, account and security notices, product updates, support communications, subscription information, and other administrative communications. TeamSideline may also market its products and features to Organization Administrators through email or within the product, subject to applicable law and communication preferences. TeamSideline does not currently use an Organization’s participant membership list for TeamSideline marketing merely because those individuals participate in the Organization’s programs. Non-essential marketing communications may be opted out of using the unsubscribe method provided in the communication or by contacting us. Opting out of marketing does not prevent transactional, security, legal, or other service-related communications.

Usage Data

We may collect information about how you interact with TeamSideline to maintain security, troubleshoot problems, analyze performance, understand feature usage, and improve the Services. This may include technical and diagnostic details such as:

Device type, operating system, application version, and browser type or version
Internet Protocol (IP) address and general region inferred from technical information
Device identifiers, session identifiers, push-notification tokens, and analytics data
Pages, screens, files, and features viewed or used
Registration, scheduling, reporting, website, payment, or administrative feature activity
Login, authentication, acceptance, role, permission, and account-transfer or reset events
Communication activity and metadata, including timestamps and delivery information
Session duration, navigation patterns, error reports, diagnostics, and performance information

When using a mobile device, we may also collect app version information, device and operating-system information, push-notification tokens, and diagnostic or crash information to provide notifications, maintain security, troubleshoot issues, and improve mobile functionality.

Location and Device Information

TeamSideline does not currently identify precise geolocation as a standard category of Personal Data collected through the Services. We may, however, process IP addresses, device information, user-entered addresses, facility locations, or other information that can indicate a general location or location associated with an Organization or program. If a future feature requests access to precise device location, we will provide any notice or permission request required by applicable law or platform rules.

Location-Based Functionality and Service Availability:

Organization, facility, program, and event locations may be entered or displayed through the Services
Service features or payment methods may vary by Organization, plan, processor availability, or legal requirements
Technical information such as IP address may be used for security, fraud prevention, and account protection
TeamSideline may limit or adjust features when reasonably necessary for legal, security, technical, or service-provider requirements

These practices do not mean that TeamSideline continuously tracks a User’s precise physical location. Location-related information is used only as described in this Privacy Policy, the applicable feature, or an Organization’s own notices.

Camera, Photos, and Uploaded Documents

The Services may allow Users to upload photographs, team images, logos, documents, and other files, and the mobile application may request access to device storage, photos, or camera functionality when needed for an optional feature. Organizations may also configure forms that request documents such as birth certificates, residency records, waivers, or other records. Permissions may generally be controlled through device or browser settings. Users and Organizations are responsible for determining whether they are authorized to upload the applicable content and whether sensitive information is necessary for the intended program purpose.

Uploaded Content and Communications

TeamSideline processes uploaded content and communications as necessary to host, transmit, display, secure, support, back up, and administer the Services. The Organization generally determines what registration information, documents, images, messages, and other content it requests or makes available. Access may be limited by account, team, role, permission, or privacy settings. TeamSideline may access or review content when reasonably necessary for support, security, abuse prevention, legal compliance, or operation of the Services. Users should not assume that information submitted through an Organization’s form or communication tool is visible only to TeamSideline.

Information Third Parties Provide About You

We may receive limited information from third parties that support TeamSideline or an Organization’s use of the Services. This information may be used to process transactions, deliver communications, operate integrations, support security, perform analytics, provide artificial intelligence features, administer background-check workflows, or provide customer support. This may include:

Payment processors that provide transaction confirmations, settlement information, fraud signals, billing metadata, or tokenized payment information
Hosting, storage, communications, and infrastructure providers that process information needed to deliver the Services
Background-check, identity, security, or other service providers that return status or workflow information when an Organization uses those services
Analytics and performance-monitoring providers that help us evaluate usage, reliability, and product performance
Artificial intelligence and customer-support providers that process information needed to provide the applicable feature or support request

Artificial Intelligence Features and Processing

TeamSideline may provide artificial intelligence, machine-learning, drafting, summarization, suggestion, automation, or similar features. Information submitted to these features, related prompts or inputs, generated outputs, and technical metadata may be processed by TeamSideline and authorized AI providers to deliver, secure, support, troubleshoot, operate, and maintain the applicable feature. TeamSideline does not use Organization or User Personal Data submitted through the Services to train general-purpose large language models, and does not authorize its AI providers to use that data for their own independent model training. TeamSideline may use de-identified, aggregated, or otherwise non-personal information for product analytics, quality assurance, security, testing, or service improvement where permitted by law. Organizations and Administrators should not submit payment-card numbers, passwords, authentication secrets, or other information prohibited by TeamSideline, and they remain responsible for ensuring that they are authorized to submit Personal Data to an AI feature. AI providers may have additional product-specific terms or disclosures.

Information may also be shared between related Organizations, such as a parent association and member league, when directed or authorized by the applicable Organization. TeamSideline does not independently determine the purpose of such Organization-directed sharing.

Tracking and Cookies Data

We use cookies and similar technologies on TeamSideline-owned properties to operate the Services, maintain account sessions, remember preferences, support security, understand usage, and improve performance. Tracking technologies may include cookies, pixels, tags, scripts, local storage, and similar tools. Depending on the property and configuration, these technologies may help us understand:

How Users navigate TeamSideline-owned websites and administrative features
Which Services, pages, or features are used and how they perform
Whether sessions, authentication, preferences, or security controls are functioning properly
How product communications, analytics, or other authorized features perform

You may be able to manage non-essential cookies through browser settings or a consent-management tool made available on the applicable TeamSideline-owned property. Disabling certain cookies may affect functionality. Organization-controlled or Organization-branded sites may have separate cookie or consent responsibilities depending on how they are configured and operated.

Examples of cookies and similar technologies we may use include:

Session or Essential Technologies: Used to operate core functionality and maintain account sessions.
Preference Technologies: Used to remember settings and user choices.
Security Technologies: Used for authentication, fraud prevention, and account protection.
Analytics Technologies: Used to evaluate usage, performance, reliability, and user experience.

Use of Data

TeamSideline collects and uses Personal Data to provide and administer the Services and for the purposes described in this Privacy Policy. TeamSideline does not currently sell Personal Data for monetary consideration. If our practices materially change in a way that constitutes a “sale,” “sharing,” or targeted advertising under applicable privacy law, we will update our disclosures and provide any rights or opt-out mechanisms required by law.

The Company may also use Personal Data for purposes including, but not limited to:

To provide, maintain, secure, support, and improve the Services
To create and manage accounts, roles, permissions, Organizations, programs, and registrations
To process subscription charges and facilitate participant payments, refunds, payment plans, settlement information, and related transaction activity through third-party processors
To deliver schedules, registration confirmations, payment notices, team or league updates, and other requested service communications
To provide interactive features such as websites, rosters, messaging, chat, document sharing, mobile access, and notifications
To provide customer support, respond to requests, and troubleshoot technical or account issues
To monitor and improve performance, reliability, accessibility, usability, and security
To perform analytics, research, testing, quality assurance, and product development
To send TeamSideline product information and marketing communications to Administrators in accordance with applicable law and preferences
To detect, investigate, prevent, and address fraud, abuse, unauthorized access, security incidents, and technical issues
To comply with legal, regulatory, contractual, processor, and other applicable requirements
To support internal business operations, auditing, accounting, billing, reporting, and administration
To operate, test, secure, and improve artificial intelligence and other technology-enabled features as described in this Privacy Policy and applicable product disclosures, provided that TeamSideline does not use Organization or User Personal Data submitted through the Services to train general-purpose large language models or authorize its AI providers to use that data for their own independent model training
To provide notifications and communications selected by an Organization or User, subject to applicable consent and opt-out requirements

In some cases, we may also use Personal Data for other purposes disclosed at the time of collection, at an Organization’s lawful direction, or with consent where required.

Organization-Controlled Data and Responsibilities

TeamSideline provides software tools that allow Organizations to configure their own programs, registration forms, data fields, communications, websites, permissions, and related operations. An Organization may determine what participant information it asks for, why it needs that information, who within the Organization may access it, and whether it is shared with an affiliated or related Organization. For Organization-controlled data, the Organization may act as the controller, business, or similar responsible party under applicable law, while TeamSideline may process the information on the Organization’s behalf to provide the Services. Privacy requests concerning Organization-controlled registration or participant data may therefore require coordination with the applicable Organization.

Retention of Data

TeamSideline retains Personal Data for periods reasonably necessary to provide the Services and for the other purposes described in this Privacy Policy. Depending on the applicable plan, data type, and Organization instructions, TeamSideline generally retains Personal Data for up to seven (7) years. Certain records may be retained for a longer period, up to ten (10) years, when reasonably necessary for legal, contractual, accounting, audit, fraud-prevention, security, dispute-resolution, or other legitimate business purposes, or when required by applicable law. Organization-controlled data may also be retained or deleted based on the applicable Organization’s instructions and legal obligations. TeamSideline may retain limited information beyond these periods where required for a legal hold, active dispute, regulatory obligation, security investigation, or in backup or archival systems that are subject to ordinary deletion cycles. TeamSideline does not retain Personal Data indefinitely solely because an Organization has ceased using the Services. Organizations are encouraged to maintain their own records and to contact TeamSideline regarding available data-management, export, or deletion options.

Transfer of Data

TeamSideline is U.S.-focused, but Personal Data may be transferred to, stored in, or processed in jurisdictions other than the state or location where it was collected, including locations where TeamSideline or its service providers operate. Privacy and data-protection laws may differ among jurisdictions. Where required, TeamSideline uses commercially reasonable contractual, organizational, or other safeguards appropriate to the processing and the applicable law.

Business Transaction

If TeamSideline is involved in a merger, acquisition, financing, investment, corporate restructuring, sale of assets, bankruptcy, or similar business transaction, Personal Data may be disclosed or transferred as part of the transaction, due diligence, or transition. Any resulting processing will remain subject to applicable law and the privacy disclosures or notices required in connection with the transaction.

Disclosure for Law Enforcement and Legal Process

TeamSideline may disclose Personal Data when reasonably necessary to comply with applicable law, regulation, subpoena, court order, legal process, or a valid request by a court, government agency, law-enforcement authority, regulator, or other public authority. The information disclosed will depend on the request and may include account, registration, communication, transaction, usage, or other information maintained through the Services.

Legal Requirements

TeamSideline may also disclose or preserve Personal Data in good faith when reasonably believed necessary for purposes including:

To comply with applicable laws, regulations, legal process, contractual obligations, or processor requirements
To protect and defend the rights, property, systems, or safety of TeamSideline, an Organization, our personnel, or Users
To investigate, prevent, or address suspected fraud, misuse, unauthorized access, abuse, or violations involving the Services
To respond to security incidents, reports involving minors, payment disputes, or other material safety or legal concerns
To protect the personal safety of Users or the public
To establish, exercise, or defend legal claims and reduce legal or operational risk

Security of Data

The security of Personal Data is important to us. TeamSideline uses commercially reasonable administrative, technical, and organizational measures designed to protect information against unauthorized access, alteration, disclosure, loss, or destruction. Current measures include encryption in transit, secure server infrastructure, role-based access controls, firewalls, antivirus and malware protections, PCI-related scanning for payment environments, and multi-factor authentication for system administrators. We also use access controls and other safeguards appropriate to the Services. No method of Internet transmission or electronic storage is completely secure, and we cannot guarantee absolute security.

Data Breach Notification

If TeamSideline experiences a security incident involving Personal Data, we will investigate and provide notice to affected parties, Organizations, regulators, or others when and as required by applicable law. The form, timing, and content of any notice will depend on the nature of the incident and applicable legal requirements.

U.S. Privacy Signals and California Notices

TeamSideline does not currently respond to browser-based Do Not Track (“DNT”) signals because there is no generally accepted standard governing those signals. Where required by applicable U.S. state privacy law, TeamSideline recognizes and honors qualifying opt-out preference signals, including Global Privacy Control (“GPC”), for processing subject to those rights. California and other state residents may also have rights concerning access, correction, deletion, portability, limitation of certain sensitive-data uses, and opt-out of sale, sharing, targeted advertising, or certain profiling, depending on the law and the nature of the processing.

How to Exercise Your Privacy Rights

To submit a privacy request, email support@teamsideline.com with the subject line “Privacy Request” or use any privacy-request mechanism TeamSideline makes available. We may request information reasonably necessary to verify your identity, authority, residency, or the scope of the request. An authorized agent may submit a request where permitted by law, subject to verification of the agent’s authority. If we deny a request, we will provide any explanation or appeal process required by applicable law. Requests involving Organization-controlled participant information may be referred to or coordinated with the applicable Organization.

Service Providers

TeamSideline may engage third-party Service Providers and subprocessors to help operate, secure, support, and deliver the Services. These may include cloud hosting and storage providers, payment processors, email and SMS delivery services, analytics and performance tools, privacy and consent-management providers, customer-support systems, security providers, volunteer background-check providers, and artificial intelligence providers. These providers receive Personal Data only as reasonably necessary for the applicable service and are subject to contractual or other restrictions appropriate to their role and applicable law.

Payments

The Services may allow Organizations to pay TeamSideline subscription charges and may allow participants or families to pay registration fees or other amounts to an Organization. TeamSideline uses third-party payment processing, including Payrix/Worldpay or other processors made available through the Services. Complete payment-card credentials are handled or tokenized by the applicable processor and are not ordinarily stored by TeamSideline. Processors may provide TeamSideline and the Organization with transaction confirmations, settlement information, payment status, refunds, chargebacks, fraud signals, and related metadata. Payment processors maintain their own privacy practices and security obligations, including applicable PCI-DSS requirements.

Links to Other Sites

The Services may contain links to third-party websites, applications, processors, app stores, providers, or other resources that TeamSideline does not operate. If you follow a third-party link, the third party may collect information under its own privacy policy. TeamSideline does not control and is not responsible for the privacy, security, content, or practices of independent third parties. Organizations may also include their own external links in hosted sites, registration forms, messages, or uploaded materials.

Children and Minors

TeamSideline is used extensively by youth sports Organizations, and the Services therefore process information about minors. TeamSideline’s intended model is that parents or legal guardians register minors and submit the minor’s information through an Organization’s registration process rather than children under 13 independently registering themselves. We do not knowingly seek to collect Personal Data directly from a child under 13 without appropriate parental authorization. If we learn that Personal Data was submitted directly by a child under 13 without appropriate authorization, we will take reasonable steps to investigate and delete or otherwise address the information as required by law. Parents or guardians who have questions or wish to exercise rights concerning a child’s information should contact TeamSideline and may also need to contact the applicable Organization that collected or controls the information.

Organizations are responsible for configuring their forms and programs lawfully, providing any notices required for the information they choose to collect, obtaining parental or guardian permissions or consents required by law, limiting access to minor information, and cooperating with valid requests concerning participant information. TeamSideline may assist Organizations with privacy requests and may take additional steps where required by the Children’s Online Privacy Protection Act (“COPPA”) or other applicable law. Personal Data relating to children is retained only for as long as reasonably necessary to provide the applicable Services, fulfill the purpose for which the information was collected, comply with applicable legal obligations, and support legitimate security or dispute-resolution needs. TeamSideline applies the retention periods described in the Retention of Data section and does not retain children’s Personal Data indefinitely.

Your Privacy Rights

Depending on where you reside and the nature of TeamSideline’s processing, applicable U.S. state privacy laws may provide certain rights regarding Personal Data. These rights are not absolute and may be subject to exceptions, verification requirements, or limitations. Where applicable, rights may include:

The right to know whether we process your Personal Data and to access certain Personal Data we maintain about you.
The right to request information about the categories, sources, purposes, and disclosures of Personal Data.
The right to correct inaccurate Personal Data and to request deletion of Personal Data, subject to applicable exceptions.
The right to opt out of a sale or sharing of Personal Data, targeted advertising, or certain profiling where those rights apply.
The right to limit or restrict certain uses or disclosures of sensitive Personal Data where applicable.
The right to obtain a portable copy of Personal Data where required and technically feasible.
The right to use an authorized agent, withdraw consent where processing relies on consent, or appeal a denial of a privacy request where applicable law provides those rights.
The right not to receive unlawful discriminatory treatment for exercising an applicable privacy right.

Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in law, technology, Service features, Organizations’ use of the Platform, artificial intelligence functionality, service providers, or our privacy practices. The revised version will include an updated effective or revision date. We may provide additional notice, require renewed acceptance, or obtain consent for material changes when required by law or appropriate to the nature of the change.

Account Deactivation and Privacy Requests

If you wish to deactivate an account, review or correct account information, or make a privacy request, you may use available account tools or contact us using the information below. We may need to verify your identity or authority before completing a request. If the information is controlled by an Organization, TeamSideline may refer the request to or coordinate with that Organization.
