Acceptable Use Policy
TeamSideline Acceptable Use Policy
Effective Date: October 15, 2026
Completely IT, Inc. dba TeamSideline.com (“TeamSideline,” “we,” “our,” or “us”) provides a cloud-based sports league management platform for youth and adult leagues, clubs, associations, schools, parks and recreation departments, tournament operators, and other sports organizations. The platform includes websites, hosted organization sites, administrative tools, mobile access, registration and scheduling features, team and roster management, communications, payment functionality, reporting, artificial intelligence features, and related software and integrations (collectively, the “Services”).
This Acceptable Use Policy (“Policy”) establishes the standards that apply to Organizations, Administrators, participants, parents and guardians, coaches, officials, volunteers, spectators, and any other person who accesses or uses the Services. The purpose of this Policy is to protect the Services, TeamSideline, the Organizations that use the Services, and the individuals whose information, communications, payments, and activities are handled through the platform.
This Policy is incorporated into the applicable TeamSideline Terms of Use and any other agreement that refers to it. Capitalized terms not defined here have the meanings given to them in the applicable TeamSideline Terms of Use. If a separate written agreement with TeamSideline imposes a more specific requirement, that requirement controls to the extent of the conflict.
KEY TERMS
- “Administrator” means an individual authorized by an Organization to access the administrative portal or exercise administrative permissions, whether through an individually assigned Account or an approved role-based Account.
- “End User” means a participant, player, parent, guardian, coach, official, volunteer, spectator, or other person who registers, receives communications, or interacts with an Organization through the Services.
- “Organization” means the league, club, association, school, parks and recreation department, governmental entity, tournament operator, or other customer that obtains access to the Services.
- “Organization Content” means content, data, forms, text, images, photographs, logos, documents, messages, program information, policies, and other materials submitted, posted, uploaded, published, transmitted, or configured by or for an Organization or Administrator.
- “Service Data” means information collected or processed through the Services, including Administrator account information, participant and registration information, rosters, schedules, communications, payment history, form responses, uploaded documents, and usage data.
AUTHORIZED USE AND ACCOUNT SECURITY
The Services may be used only for lawful purposes and only within the role, permissions, and authority assigned to the person using them. An Organization is responsible for selecting its Administrators, assigning appropriate access, maintaining accurate account and role information, and promptly removing or transferring access when a person’s authority changes.
Account and Credential Requirements
- Users must safeguard passwords, devices, authentication methods, and other credentials used to access the Services.
- Individually assigned Accounts may not be transferred, loaned, or used by another person.
- Where TeamSideline permits an approved role-based Account, the Organization must use TeamSideline’s available transfer or reset process and maintain accurate information identifying the person currently responsible for the Account.
- Former, unauthorized, or unnecessary users must not retain access to an Account, Organization data, or administrative functionality.
No person may impersonate another individual or Organization, conceal who is using an Account, misrepresent authority, provide materially false information, obtain access through deception, or access data, features, programs, records, or administrative functions beyond the permissions that TeamSideline or the applicable Organization has granted.
PRIVACY, PARTICIPANT DATA, AND MINORS
The Services may contain information concerning participants, minors, parents and guardians, coaches, officials, volunteers, and other users. Depending on an Organization’s configuration, this may include names, contact information, dates of birth, rosters, emergency contacts, health or accommodation information, uploaded documents, payment history, communications, consent records, and other information associated with an Organization’s programs.
Access to Personal Data and Service Data must be limited to legitimate Organization purposes and to persons who have a genuine need for the information. An Organization and its Administrators remain responsible for determining what information they collect, why they collect it, who may access it, and whether notices, permissions, consents, or additional safeguards are required.
Prohibited Data Uses
- Selling, renting, distributing, harvesting, or exploiting participant or other Personal Data for personal benefit or unrelated commercial purposes.
- Using participant information for unrelated solicitation, competitive activity, political activity, stalking, harassment, discrimination, or other purposes inconsistent with the Organization’s legitimate programs.
- Exporting, copying, or sharing sensitive information beyond the persons or entities authorized to receive it.
- Collecting sensitive information that is not reasonably necessary for a legitimate Organization purpose.
- Using information concerning minors in a manner inconsistent with applicable law, parental or guardian permissions, the Organization’s notices, or TeamSideline’s Privacy Policy.
Organizations and Administrators must exercise particular care with information relating to minors, medical or health matters, emergency contacts, government-issued or eligibility documents, authentication information, and other sensitive data. Nothing in the Services relieves an Organization of its independent obligations concerning privacy, children’s privacy, records, access controls, or data security.
COMMUNICATIONS, SOLICITATIONS, AND USER CONDUCT
TeamSideline communication tools may permit email, SMS, chat, push notifications, announcements, payment notices, schedule notices, and other communications. These tools may be used only for lawful and authorized communications connected to legitimate Organization or TeamSideline activities. The sender is responsible for the content of the communication, the selection of recipients, required consents, sender identification, opt-out obligations, and compliance with applicable communications laws and carrier requirements.
The following uses are prohibited
- Spam, purchased or unlawfully obtained lists, deceptive messages, unlawful telemarketing, phishing, credential harvesting, or communications sent without required consent or opt-out functionality.
- Repeated unwanted communications, harassment, intimidation, threats, stalking, abusive communications, or attempts to exploit or endanger another person.
- Contacting End Users for personal, unrelated commercial, political, or competitive purposes unless the communication is independently authorized and lawful.
- Conduct involving minors that is sexually exploitative, predatory, abusive, grooming-related, or otherwise unlawful.
TeamSideline may process communication content and related metadata as reasonably necessary to transmit messages, troubleshoot issues, investigate abuse, secure the Services, support users, or comply with law. Users should not assume that communications sent through the Services are private from the applicable Organization or TeamSideline where access or review is permitted under the Privacy Policy or applicable agreement.
CONTENT AND ORGANIZATION ACTIVITIES
Organizations and Users may upload, publish, transmit, or configure content through the Services, including forms, policies, waivers, photographs, logos, documents, messages, links, schedules, and other materials. A person who submits or publishes content must have the rights, permissions, and authority necessary to do so and remains responsible for the content and the purpose for which it is used.
Unlawful or Harmful Content.
Users may not create, upload, transmit, or distribute material that is unlawful, fraudulent, defamatory, threatening, harassing, hateful, discriminatory, obscene, sexually explicit, exploitative, malicious, intentionally deceptive, or otherwise reasonably likely to harm another person or violate another person’s rights.
Intellectual Property and Privacy Rights.
Content may not infringe intellectual property, privacy, publicity, confidentiality, contractual, or other legal rights. Users may not upload photographs, logos, documents, recordings, or other materials unless they have the necessary authority to use them.
Program and Registration Integrity.
An Organization may not use the Services to administer an unlawful program, falsify eligibility information, create false registration or payment records, manipulate rosters or results, evade legal obligations, or make representations on behalf of TeamSideline that TeamSideline has not authorized.
SYSTEM INTEGRITY, SCRAPING, AND TECHNICAL ABUSE
Users may not interfere with the operation, availability, performance, or security of the Services. This includes introducing malware or harmful code, disrupting network traffic, overwhelming the Services with automated requests, bypassing access controls, disabling security features, interfering with another user’s access, or attempting to obtain data or functionality that is not intended to be available to that user.
Automated Access and Extraction
Except with TeamSideline’s prior written authorization, users may not use robots, spiders, scrapers, crawlers, offline readers, automated extraction tools, bulk-download tools, or similar systems to access, copy, index, monitor, or extract non-public Service Data or TeamSideline Content. Ordinary public search-engine indexing of publicly available pages is not prohibited where TeamSideline has not technically restricted it.
Security Testing and Circumvention
Users may not probe, scan, test, benchmark, or attempt to exploit vulnerabilities in the Services without TeamSideline’s prior written authorization. Users also may not defeat rate limits, authentication measures, usage restrictions, anti-abuse controls, or other technical safeguards. A suspected security weakness should be reported to TeamSideline rather than exploited or publicly disclosed in a manner that creates additional risk.
Reverse Engineering and Competitive Misuse
Except to the extent a restriction is prohibited by law, users may not reverse engineer, decompile, disassemble, derive source code from, copy, reproduce, modify, distribute, sell, license, or create unauthorized derivative works from the Services or TeamSideline Content. Non-public TeamSideline data, workflows, interfaces, documentation, or extracted Service Data may not be used to build, train, support, market, or improve a competing product or service without TeamSideline’s written permission.
PAYMENTS, REFUNDS, DONATIONS, AND FINANCIAL MISUSE
Payment and fundraising functionality may be used only for legitimate transactions connected to an Organization’s programs and only by persons authorized to manage those transactions. TeamSideline may rely on instructions submitted through an Account with the applicable permissions unless TeamSideline has actual knowledge that the instructions are unauthorized.
Prohibited Financial Conduct
- Fraudulent registrations, false payment instructions, unauthorized refunds, payment-card misuse, bank-account manipulation, diversion of funds, or other fraudulent financial activity.
- Improper chargebacks or payment disputes used to avoid legitimate obligations or obtain funds or benefits to which the user is not entitled.
- Changing settlement or financial information without proper authority or attempting to bypass an Organization’s internal financial controls.
- Using payment functionality for unlawful transactions or purposes unrelated to legitimate Organization activities.
- Misrepresenting that TeamSideline is a charity, charitable fundraiser, co-venturer, fiduciary, escrow agent, trustee, fiscal sponsor, bank, or recipient of an Organization’s donations or fundraising proceeds.
Where an Organization uses the Services for donations, sponsorships, fundraising, or similar activity, the Organization is responsible for its legal status, disclosures, charitable-solicitation requirements, tax representations, receipts, substantiation, and the lawful use of funds. TeamSideline may suspend payment or fundraising functionality where it reasonably suspects fraud, misrepresentation, processor violations, unlawful activity, or material risk.
ARTIFICIAL INTELLIGENCE FEATURES
TeamSideline may provide artificial intelligence, machine-learning, drafting, summarization, suggestion, automation, or similar features (“AI Features”). Users remain responsible for how AI Features are used and for reviewing outputs before they are relied upon, published, transmitted, or used to make decisions.
AI Use Requirements
- Do not submit information to an AI Feature unless the user and the applicable Organization are authorized to process and disclose it.
- Do not submit payment-card numbers, passwords, authentication secrets, or other information that TeamSideline identifies as prohibited.
- Do not use AI Features to make unlawful, discriminatory, deceptive, safety-critical, eligibility, medical, legal, financial, or other professional decisions without appropriate human review and responsibility.
- Do not use AI Features to generate malicious code, facilitate security attacks, impersonate others, create fraudulent content, evade platform safeguards, or engage in conduct that would otherwise violate this Policy.
AI output may be inaccurate, incomplete, biased, offensive, or unsuitable for a particular purpose. TeamSideline does not guarantee that AI output is unique, non-infringing, or appropriate for a specific use. TeamSideline may use safeguards, moderation, logging, and review as reasonably necessary to prevent abuse and protect the Services.
THIRD-PARTY SERVICES AND LINKS
The Services may integrate with or link to payment processors, communications providers, hosting services, analytics providers, background-check providers, artificial intelligence providers, app stores, and other third parties. Users must comply with applicable third-party requirements and may not use an integration to violate this Policy or circumvent TeamSideline controls.
Users may not place or transmit links intended to deceive users, distribute malware, harvest credentials, redirect users to malicious or unauthorized services, or improperly divert TeamSideline or Organization users to a competing service. TeamSideline may disable links, integrations, or related functionality where reasonably necessary to protect users, the Services, or third parties.
INVESTIGATION, SUSPENSION, AND ENFORCEMENT
TeamSideline may investigate suspected violations of this Policy and may review relevant account activity, communications, logs, content, transactions, and other records as reasonably necessary for security, support, fraud prevention, legal compliance, or enforcement. TeamSideline has no obligation to monitor every user, message, file, transaction, or activity.
If TeamSideline reasonably believes that conduct violates this Policy, another TeamSideline agreement or policy, applicable law, processor requirements, security requirements, or third-party rights, TeamSideline may take action appropriate to the circumstances, including:
- removing, restricting, or disabling access to content;
- limiting features or functionality;
- resetting credentials or requiring additional verification, remediation, or security measures;
- suspending, deactivating, or terminating an Account or Organization access;
- preserving evidence, logs, communications, or transaction records;
- withholding, delaying, reversing, or restricting affected transactions where permitted by the applicable agreement, processor rules, or law; and
- notifying an Organization, service provider, payment processor, affected person, governmental authority, or law-enforcement authority where appropriate.
TeamSideline may take immediate action where it reasonably believes there is fraud, unauthorized access, a security threat, risk to minors, unlawful activity, material misuse of Personal Data, or a substantial risk of harm to TeamSideline, an Organization, a User, or another person. Reinstatement following a suspension is not guaranteed and may require verification, remediation, additional safeguards, or satisfaction of outstanding contractual obligations.
REPORTING VIOLATIONS
Suspected misuse, unauthorized access, security incidents, harmful content, fraud, or other violations of this Policy should be reported promptly to support@teamsideline.com. Reports should include enough information for TeamSideline to identify the applicable Organization, Account, content, communication, transaction, or activity and evaluate the issue.
CHANGES TO THIS POLICY
TeamSideline may update this Policy from time to time to reflect changes in the Services, law, technology, security practices, payment requirements, communications rules, artificial intelligence functionality, or other business and compliance needs. The revised Policy will identify an updated effective or revision date. TeamSideline may provide additional notice or require renewed acceptance where appropriate or required by an applicable agreement or law.
